Depending on the implemented module or feature, Application Service Manager is involved in the meetings with the Project Manager, Quality Manager, and the architect when those requirements are described and discussed.<\/p>\n\n\n\n<p>Then, regarding updates coordination and management, he participates with the architect in estimating the effort and planning potential changes. Afterward, he adds them as separate tasks, defines their priority and order, and assigns them to individual developers. Finally, Application Service Manager is responsible for communicating with the business units regarding the timeline of each change and the progress of update implementation.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Tests and presentations of new features<\/strong><\/h2>\n\n\n\n<p>After implementation, Application Service Manager tests new features based on defined use cases. He organizes meetings with key users when the updates and functionalities are presented and described. Together with the key users, Application Service Manager specifies how to perform UAT, the time frame, and the way to gather feedback. He is also responsible for coordinating these tests and, by the received feedback, discussing and planning further improvements with Project Manager and Quality Manager.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Users training<\/strong><\/h2>\n\n\n\n<p>Within the user support area, Application Service Manager conducts training sessions. There are weekly App User Trainings \u2013 dedicated workshops for those who are getting started using the specific tool. During these sessions, Application Service Manager presents the overall functionality and usage of the application modules.<\/p>\n\n\n\n<p>The users have the opportunity to familiarize themselves with the main features, app navigation, and step-by-step walk-throughs about the most important tool options. In each such training, the Help and Support module is introduced. Moreover, Application Service Manager prepares the support materials and guides published on a dedicated SharePoint site.<\/p>\n\n\n\n<p>Depending on the needs, Application Service Manager also organizes dedicated training sessions. These sessions aim to provide more details about a specific functionality or module. They are targeted to individual business units or teams, such as Project Managers, Process Managers, or Project Coordinators.<\/p>\n\n\n\n<p>Additionally, every other week, Application Service Manager and Quality Manager schedule a meeting for the defined stakeholders from the Key Users Community, representing different business departments. The recent updates and the roadmap for future changes and improvements are presented during those meetings.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Preparing documentation and User Guides<\/strong><\/h2>\n\n\n\n<p>Furthermore, Application Service Manager prepares the detailed app documentation, which includes the description of all features and their usage. It also contains information about the relations and dependencies between the modules, explaining the structure, types, and content of databases used by those applications. The documentation overviews all Power Automate flows used by the tools. It helps to understand different automated processes and their integration with the system. Such documentation serves as the developer&#8217;s team&#8217;s knowledge source and supports managing and maintaining the solution.<\/p>\n\n\n\n<p>Apart from the technical documentation, Application Service Manager creates User Guides available in the Help and Support module. The guides contain instructions and information regarding app functionalities, descriptions, and definitions of various tool options. They help end users navigate between modules and improve the overall user experience while using the app. Application Service Manager is responsible for publishing those instructions and keeping them updated.<\/p>\n\n\n\n<p>If needed, he also prepares video guides to introduce users to the available modules, their purposes, and their functions, which are similar in all of them.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>User support and feedback management<\/strong><\/h2>\n\n\n\n<p>Each application contains the above-mentioned support module, a dedicated place for storing information about all tool possibilities. This module also has a built-in feedback feature, which end users can use to send suggestions or ideas about further improvements or to ask questions and support requests about the tool.<\/p>\n\n\n\n<p>Application Service Manager is managing that feedback:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>checking and updating its status,<\/li>\n\n\n\n<li>reacting to users questions,<\/li>\n\n\n\n<li>assigning feedback to a proper person,<\/li>\n\n\n\n<li>contacting users directly (depending on the feedback type).<\/li>\n<\/ul>\n\n\n\n<p>All potential changes based on given feedback are discussed during weekly meetings with the team \u2013 including the Project Manager, the Quality Manager, and the architect\/developer.<\/p>\n\n\n\n<p>To ensure proper communication between the end users and the developer&#8217;s team, a dedicated support group was created on the Viva Engage platform. Here, Application Service Manager and the Quality Manager publish a list of recent updates and new features. Users can also share their feedback, send their ideas, or get the required support. Similarly to managing feedback in the Help and Support module, Application Service Manager monitors and responds to the queries sent to this group.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Technical support in app development<\/strong><\/h2>\n\n\n\n<p>All of the tools within the Application Service Manager&#8217;s scope of duties are continuously developed and improved to meet the needs and requirements. These include new modules and smaller updates to existing solutions. Except for the developer&#8217;s team, the application service manager supports the team in technical tasks.<\/p>\n\n\n\n<p>Among his responsibilities is creating database structures in SharePoint, including the lists scheme, data types, and naming conventions. He ensures that the structure is aligned with the business requirements and best practices, which helps further data management.
