A modern workplace for a global energy organization
As a leader in low-carbon and clean energy solutions, the client operates in 25 countries, collaborating with thousands of employees, partners, and suppliers. The growing scale of operations required a consistent and secure work environment to improve communication across entities and accelerate information exchange throughout the organization – from headquarters to local branches in Europe and Asia.
The existing infrastructure – fragmented email systems, on-premises solutions, and varying tool standards – made centralized management difficult, increased maintenance costs, and complicated security. The organization selected Microsoft 365 as its target Modern Workplace platform but needed a partner to execute Exchange migration to the cloud. The scope also included delivering an Office 365 adoption program, building secure self-service tools for local IT teams, and providing ongoing support and governance across the environment.
Modern Workplace program based on Microsoft 365 and self-service tools
Sii Poland delivered a comprehensive digital workplace transformation program based on Microsoft 365—from email migration and collaboration rollout to ongoing management and development of the M365 ecosystem.
Scope of work included:
- Exchange migration to Office 365 – analysis of environments across 8 entities in Europe and Asia, preparation of the migration plan, and migration of user mailboxes, shared mailboxes, resources, and public folders to Exchange Online, along with decommissioning hybrid Exchange setups and Skype for Business
- Office 365 collaboration rollout – delivery of an adoption program for Teams, OneDrive, SharePoint, and Yammer across 15 entities, including workshops and training for business champions, identification and documentation of use cases, and launch of adoption portals and a SharePoint Online-based intranet
- Office 365 self-service portal – development of SharePoint Online and Azure AD infrastructure (dedicated sites, dictionary lists, security groups) and implementation of a Canvas Power Apps application with Power Automate logic, enabling local IT teams to create MS Teams teams and SharePoint sites without administrative privileges
- Ongoing M365 support and development – incident and request handling, SharePoint enhancements, development of new Power Apps applications and Power Automate processes, full support of the M365 ecosystem, and continuous development of governance standards aligned with security and compliance requirements
This approach enabled Microsoft 365 to become a unified work platform – covering email and communication, document collaboration, and business applications built in a low-code model.
Unified work environment and increased team productivity
Following the implementation and expansion of the Microsoft 365 ecosystem, employees across multiple entities gained access to consistent communication and collaboration tools: standardized email in Exchange Online, teamwork in Microsoft Teams, intranet in SharePoint Online, and secure file sharing in OneDrive. Unified management of mailboxes, teams, and sites simplified daily operations, accelerated information flow, and improved the overall user experience.
From a central IT perspective, the transition to a modern cloud environment with clearly defined governance was key. Migration to Exchange Online and decommissioning of legacy systems optimized licensing and maintenance costs. The self-service portal reduced repetitive administrative tasks, while the Office 365 adoption program increased platform awareness and reinforced new ways of working.
