As a global provider of information and tools for legal professionals, tax advisors, finance teams, and compliance departments, the client supports thousands of users who work with contracts, legal opinions, invoices, and internal policies every day. Both document volumes and regulatory complexity continue to increase year over year across areas such as commercial law, billing practices, and compliance requirements.
The organization wanted to provide its external clients with more effective tools for analyzing invoices and contracts, while giving business users faster access to information contained in corporate policies and documents. At the same time, it aimed to reduce the burden on legal teams by automating repetitive tasks and handling straightforward inquiries.
A further challenge was the lack of consistent oversight of legal service costs. The organization needed GenAI solutions capable of securely and reliably using its proprietary expert content to deliver measurable improvements in users’ day-to-day work.
From prototypes to product capabilities – GenAI for legal workflows
Working closely with the client’s teams, Sii Poland developed selected GenAI capabilities across existing products and prototypes. These were separate initiatives delivered at different times to address distinct business use cases. In the RAG-based and contract analysis solutions, language models worked with the organization’s proprietary documents, policies, and guidelines.
The scope of work included:
- Extending an existing legal work management system with an invoice analysis module capable of deduplicating and grouping line items, flagging non-billable tasks such as administrative activities, and classifying the type of work performed
- Designing and building a RAG chatbot prototype for business users that answered straightforward questions based on approximately 50 corporate documents, each ranging from 20 to 40 pages
- Developing and implementing a contract compliance review capability within the client’s existing legal assistant. The module compares an uploaded document – typically a 10- to 50-page agreement or contract, including NDAs – against corporate policies, regulatory changes, or newly issued guidelines, and then proposes the required revisions as redlines. The capability is currently being rolled out
- Integrating the new capabilities with the workflows, interfaces, reporting functions, and security controls already used across the client’s products, including encryption, tenant isolation, log auditing, and compliance reviews
To meet compliance requirements, the solutions were designed with a human-in-the-loop approach. In practice, most processes can run automatically from end to end, but users review, approve, or edit the final output before applying it in their work.
Improved cost control and stronger legal process support with GenAI
The GenAI capabilities developed by Sii addressed a range of needs across legal, compliance, and finance teams. The deployed invoice analysis module delivered the most measurable impact. By deduplicating billing entries and flagging non-billable items, it helped streamline invoice review, strengthen legal spend control, and identify activities that should not be billed.
The RAG chatbot prototype demonstrated that recurring employee questions could be handled effectively using internal documents and corporate policies. Meanwhile, the contract compliance review module currently being rolled out is designed to support document analysis and generate redline revisions in line with current policies and guidelines, reducing the risk of inconsistencies and costly corrections later in the process.
A key aspect of the initiatives was embedding the invoice analysis module and contract compliance review capability into the client’s existing products and workflows while maintaining security requirements and ensuring final user validation of the output. This approach combines automation with the level of oversight required in legal and financial processes, with a clear focus on cost savings, quality, and risk reduction.
