Within the global group structure, multiple independent communication systems were in use, including on-premises email servers as well as local solutions for online meetings and resource sharing. These environments were managed separately by individual subsidiaries in different countries.
The lack of a common standard made user management, information exchange, and consistent security policies difficult to enforce. Diverse licensing models and overlapping services further increased operational costs.
The organization needed a centralized, modern communication environment that would simplify administration and significantly improve security.
To achieve this, the management board entrusted the consolidation of the communication landscape to Sii Poland, a partner with proven experience in delivering migration projects for complex, internationally distributed organizations.
International-scale migration to Microsoft 365
Sii Poland experts delivered a full transformation program, covering all stages of the project lifecycle – from analysis and planning, through data migration, to the decommissioning of legacy systems.
The project was executed using a hybrid Agile + Waterfall delivery model, combining flexible implementation of changes with strict progress control and compliance with security requirements.
Four Sii Poland Competence Centers were involved in the project:

- IT Infrastructure
- Service Desk
This cross-disciplinary setup ensured comprehensive technical and operational support within a single delivery organization.
Scope of work included:
- Analysis of local environments and preparation of a detailed migration plan
- Migration of user accounts, shared mailboxes, and resources to the new cloud environment
- Migration of Skype for Business accounts to Microsoft 365
- Migration of public folders to Modern Public Folders
- Decommissioning of hybrid Exchange and Skype for Business environments
A consistent communication environment and lower operating costs
The Microsoft 365 migration delivered by Sii Poland resulted in long-term operational and technological improvements. Thanks to the standardized communication environment, all eight group companies now use a single, secure email and online communication platform, significantly improving cross-regional collaboration.
The new solution simplified user and resource management while reducing maintenance costs through the retirement of legacy systems and license optimization. The implementation of Exchange Online Protection (EOP) strengthened the organization’s security posture and enabled further development based on modern Microsoft 365 services.
