The obligation to use the National e-Invoicing System (KSeF) is fast approaching. Although its enforcement has been postponed to February 2026, many companies are already intensifying their preparations to meet the deadline and avoid costly errors. KSeF – new obligations, new challenges
The National e-Invoicing System (KSeF), developed by the Polish Ministry of Finance, is set to fundamentally change how VAT invoices are issued and received in Poland. Starting in February 2026, large enterprises (with turnover exceeding PLN 200 million in 2024) will be required to use KSeF, followed by all businesses from April 2026. This means all sales and purchase invoices will be transmitted and received through a central government platform.
While the system brings clear benefits, such as faster VAT refunds and improved data control, it also introduces a range of practical challenges:
- Invoices must be submitted in the FA(2) format and in Polish,
- ERP data must be mapped into the XML schema required by the Ministry of Finance,
- Invoicing exceptions must be considered (e.g. RE-FX, CCM, SD Rebate Management),
- Legal requirements are evolving, and the final version of the schema is still being updated,
- Compliance must be ensured not only with KSeF but also with other reporting obligations, such as JPK.
Organizations that fail to prepare adequately for the transition risk issues with document transmission, accounting process delays, and potential tax penalties.
SAP DRC – built-in compliance with KSeF
SAP Document and Reporting Compliance (DRC) is SAP’s response to the growing demands of electronic reporting, including those introduced by KSeF. The solution is fully integrated with SAP systems (ECC and S/4HANA), supports a wide range of country-specific tax obligations, and ensures compliance with local legislation – including the Polish e-invoicing mandate.
For KSeF integration, DRC offers:
Automation and compliance
- Generation of invoices in the required FA(2) format,
- Automatic mapping of SAP data to the KSeF schema,
- Option to preview and edit invoices before transmission,
- The addition of a QR code for invoice identification in the Ministry of Finance system,
- Full support for electronic signatures and authorization mechanisms (including token-based access, even if revoked – DRC is ready for this).
Handling of exceptional processes
- RE-FX: invoices related to real estate management can be redirected to KSeF via FI documents,
- SD Rebate Management / CCM: handling of correction invoices in ECC and optional configuration in S/4HANA,
- Self-billing: automated transmission of invoices generated from incoming IDOCs,
- Invoices not qualifying for corrections (e.g. address changes without financial impact) are automatically excluded from KSeF transmission,
- A unique mechanism prevents duplicate downloads of the same purchase invoice from KSeF.
Flexible data mapping
DRC leverages SAP AIF (Application Interface Framework) for data mapping between the SAP system and the e-invoice structure. While AIF is typically a licensed tool, it is available free of charge in the KSeF context – significantly lowering the entry barrier.
Adaptability to changes
SAP continuously develops the DRC solution in response to updates in Polish regulations, including changes to the schema and the authorization process. This ensures businesses can count on a stable, compliant KSeF integration, even as requirements evolve.
