We are looking for a PMO Specialist to support the IT project management office within a dynamic project environment. You will be involved in coordinating various aspects of IT projects, including planning, risk management, and stakeholder communication. This is a part-time position (0,5 FTE), offering flexibility while providing meaningful involvement in key project activities. Your tasks

Creating and maintaining the IT project plan, milestone plan, dependency list, risk register, decision log, and open issues list
Coordinating the IT scope for production, logistics, and Shopfloor IT systems related to the launch of the cabin welding and painting facilities
Managing IT infrastructure tasks, including LAN/WLAN networks, infrastructure connections, workstations, industrial IT devices, printers/labelers, servers, central services, and IT security requirements
Supporting technical agreements between local teams in Niepołomice, central teams in Munich, VW, and external suppliers
Preparing and maintaining project documentation, meeting minutes, status presentations, steering reports, and decision materials
Monitoring project progress, budget, quality, risks, scope changes, and corrective actions
Organizing and moderating project meetings, workshops, risk reviews, readiness reviews, and decision-making meetings
Managing the project in a hybrid model, combining classic IT PEP approaches with agile elements where justified by the system scope
Coordinating IT testing, acceptance, operational readiness, handover for maintenance, and project closure activities
Ensuring transparent communication with stakeholders and escalating issues requiring decisions

Requirements

Minimum 3 years of experience in IT project management or PMO support for IT projects
Experience in industrial, production, logistics, or Shopfloor IT projects, preferably in the automotive industry
Practical knowledge of project planning, scheduling, project controlling, reporting, risk management, and dependency management
Ability to work with interdisciplinary teams and local and central stakeholders
Very good knowledge of MS Office, particularly Excel, PowerPoint, Word, SharePoint, and task management tools
Structured, independent, and solution-oriented work approach
Willingness to travel and be present on-site in Niepołomice once per month
Fluent Polish
Advanced level of English

Nice to have

Knowledge of the German language
Experience with agile methodologies such as Scrum or Kanban
Understanding of IT infrastructure issues in a production environment, IT security, industrial networks, and system integration
Experience in launch, migration, or construction projects for new production areas

Twoje zadania

Tworzenie i utrzymywanie planu projektu IT, planu kamieni milowych, listy zależności, rejestru ryzyk, dziennika decyzji oraz listy otwartych kwestii
Koordynacja zakresu IT dla systemów produkcyjnych, logistycznych i Shopfloor związanych z uruchomieniem stanowisk spawania i lakierowania kabin
Zarządzanie zadaniami infrastruktury IT, w tym sieci LAN/WLAN, połączeń infrastrukturalnych, stanowisk roboczych, przemysłowych urządzeń IT, drukarek/etykieciarek, serwerów, usług centralnych oraz wymagań bezpieczeństwa IT
Wsparcie umów technicznych między zespołami lokalnymi w Niepołomicach, zespołami centralnymi w Monachium, VW oraz dostawcami zewnętrznymi
Przygotowywanie i utrzymywanie dokumentacji projektowej, protokołów spotkań, prezentacji statusowych, raportów zarządczych oraz materiałów decyzyjnych
Monitorowanie postępu projektu, budżetu, jakości, ryzyk, zmian zakresu oraz działań korygujących
Organizacja i moderacja spotkań projektowych, warsztatów, przeglądów ryzyka, przeglądów gotowości oraz spotkań decyzyjnych
Zarządzanie projektem w modelu hybrydowym, łączącym klasyczne podejścia IT PEP z elementami agile tam, gdzie uzasadnia to zakres systemu
Koordynacja testów IT, akceptacji, gotowości operacyjnej, przekazania do utrzymania oraz zamknięcia projektu
Zapewnienie transparentnej komunikacji z interesariuszami oraz eskalacja kwestii wymagających decyzji

Wymagania

Minimum 3 lata doświadczenia w zarządzaniu projektami IT lub wsparciu PMO dla projektów IT
Doświadczenie w projektach IT w sektorze przemysłowym, produkcyjnym, logistycznym lub Shopfloor, najlepiej w branży motoryzacyjnej
Praktyczna znajomość planowania projektów, harmonogramowania, kontroli projektów, raportowania, zarządzania ryzykiem i zależnościami
Umiejętność pracy z zespołami interdyscyplinarnymi oraz lokalnymi i centralnymi interesariuszami
Bardzo dobra znajomość MS Office, w szczególności Excel, PowerPoint, Word, SharePoint oraz narzędzi do zarządzania zadaniami
Strukturalne, samodzielne i nastawione na rozwiązania podejście do pracy
Gotowość do podróży i obecności na miejscu w Niepołomicach raz w miesiącu
Biegła znajomość języka polskiego
Język angielski na poziomie zaawansowanym

Mile widziane

Znajomość języka niemieckiego
Doświadczenie z metodykami agile, takimi jak Scrum lub Kanban
Znajomość zagadnień infrastruktury IT w środowisku produkcyjnym, bezpieczeństwa IT, sieci przemysłowych oraz integracji systemów
Doświadczenie w projektach uruchomień, migracji lub budowy nowych obszarów produkcyjnych
